Infrastructure Architects is looking for a Project Coordinator to join our Team.

Project Coordinator – Architecture

The primary responsibility of a project coordinator is to work closely with the project manager and project team to support and facilitate all administrative functions. Familiar with practices and procedures in the field of design and construction; relies on experience and judgment to prioritize and plan ahead to meet challenges and deadlines. Maintains a professional working relationship with owners, consultants and contractor. Prior experience as a project administrative assistant is highly valuable. Personal computer experience in Microsoft Office environment is required.

 Good organizational and people skills, “can do attitude”, as well as the ability to multi-task and handle stressful situations with grace and professionalism is an absolute must.

 SPECIFIC RESPONSIBILITIES/TASKS GENERAL PROJECT:

  1. Schedules and coordinates meetings.
  2. Prepares meeting minutes as necessary and if required by Project Manager.
  3. Assists project manager in preparation of owner and consultant contracts.
  4. Maintains organization and tracks owner and consultant contracts.
  5. Assists team in compiling drawing and specs for submittal.
  6. Assists team in compiling addenda, etc.
  7. Creates project directories and updates as necessary.
  8. Develop and implements processes as required by project.
  9. Works with the staff to assure the filing system is established, maintained and utilized day-to-day properly.

 SPECIFIC RESPONSIBILITIES DURING CA (construction administration):

  1. Supports the project team and all administrative functions.
  2. Responsible for setting up the field office when applicable (see attachment “Office in a Box” for further details).
  3. Maintains various logs i.e.: RFI, submittal, ASI.
  4. Assist team in compiling ASI, C.O’s, CCD’s etc. for submittal
  5. Develops and create forms with DO.
  6. Maintains project record drawings and specifications.
  7. Maintain organization of addenda, ASI’s, proposal requests, change order requests, field reports, non-conformance reports and RFI’s
  8. Develop and implements processes as required by project.
  9. Maintains submittal process and files.
  10. Individual is responsible for RFI’s in making sure they are logged, directed to the correct person and filed appropriately.
  11. Works with the staff to assure the filing system is established, maintained and utilized day-to-day properly.

 Min. Qualifications

  • HS Graduate or greater
  • 2 years experience (min.) in architecture, engineering or construction.

Min. computer skills: proficient in MS Office. Knowledge or ability in AutoCAD 2006 a plus.
